A reference manager that keeps sources and citations together
Zotero is a reference manager for people who write from sources. It saves the details of a book, article, report or web page with one click, keeps the attached PDF alongside that record, and then inserts citations and a bibliography into a word processor using whatever citation style the target publication demands. The desktop program is free and open source, runs on Windows, macOS and Linux, and is used from undergraduate essays up to doctoral theses and systematic reviews.
What the program does
A library holds items, and an item carries the metadata that identifies a source: author, title, year, publication, DOI, URL and more. Items live in collections, which behave like playlists rather than folders, so one source can appear in several projects. Tags, saved searches and full-text indexing make a large library searchable, and the built-in PDF reader stores highlights and notes that stay linked to the page they came from. When you cite, a plugin talks to Word, LibreOffice or Google Docs and builds both the in-text citation and the final reference list.
The workflow
Installation is followed by the browser connector, which is the part that does the heavy lifting: on a journal page or a library catalogue it reads the embedded metadata and files the item, downloading the PDF when the site allows it. From there the pattern is collect, read and annotate, then write, letting the citation plugin format everything at the end. Bibliographies can also be exported as BibTeX or RIS for LaTeX and other toolchains, and group libraries let a small team share one collection.
Practical settings and limits
Free online storage is small, currently 300 MB, which fills quickly with PDFs; the usual answers are linked files, your own WebDAV space, or a paid storage plan. The desktop library itself has no practical size limit. Storage and syncing should not be confused: metadata sync is free, file sync is what costs money. The citation styles come from the Citation Style Language collection, so obscure journals are usually covered, but a house style that deviates from the published version may still need manual correction.
Who should choose something else
Writers who never cite anything will find a plain folder of PDFs simpler, and LaTeX users who live entirely in BibTeX files may prefer a dedicated BibTeX editor. Research groups that already pay for an institutional reference manager may be required to use it. Zotero is at its best when a growing personal library has to produce references in many different styles.
