Keep camera equipment records together
GearDex brings equipment records into one workspace for photographers, videographers and small studios. Camera bodies, lenses and accessories can have their own records, helping you keep serial numbers, purchase information, photographs, locations and supporting documents together rather than across separate notes and spreadsheets. It is an inventory and planning service, not a photo editor.
Start with a smaller collection
The non-expiring Starter tier supports up to 25 items and includes basic inventory tracking, search, location records and data export. It also includes limited shoot planning and Iris AI access. The plan comparison currently lists three shoot plans and 25 shared AI actions per week for Starter. Do not assume that every feature shown in the product tour is included in the free plan.
Paid Pro and Studio tiers increase capacity and add workflows. The dedicated packing workspace, richer reports and several production tools require a paid tier; maintenance tracking and team functions are not part of the basic free offering. Check the current comparison before choosing the service for a studio process.
Desktop and browser access
Use the cloud workspace in a current browser, or install the desktop client. The official download page lists macOS 13 or later on Intel and Apple Silicon, and Windows 10 or later on x64 and ARM64. The same account is used across devices. An internet connection is required, so this is not an offline-only equipment database.
Records, privacy and backups
GearDex stores account information, inventory details and uploaded attachments through its service providers, as explained in the privacy policy. Export is available on every plan; retain independent copies of important receipts and inventory records. AI-generated answers should be checked against the equipment manufacturer's specifications rather than treated as authoritative compatibility advice.
The application is proprietary. Its public GitHub repository provides release downloads and an issue tracker, not the application source code. Our review covers published documentation and installer inspection; we have not created an account or tested signed-in workflows.
- Best for
- Photographers who need equipment records, receipts and basic shoot planning in one workspace.
- Good to know
- Free Starter: 25 items; account and internet required. The EXE has an x86 bootstrapper; the Windows app targets x64/ARM64. Mac downloads are on the official page.
A practical inventory starting point
Begin with the equipment you regularly use. Record serial numbers carefully, add the relevant receipt to each record, and make an export before reorganizing a large collection. An inventory is only as useful as the information kept up to date.
Choosing the right desktop package
The hosted file on this page is the Windows installer. For macOS, use the official download page and choose Apple Silicon or Intel to match your Mac. Browser access is a separate option and does not require installing the Windows package.
