Find files, organize documents and complete PDF forms
Ingenious Search brings several document workflows into a single Windows application. It is designed for people who remember what a document contains but cannot easily locate it, or who need to sort a collection before working with its contents. The publisher offers a non-expiring Free mode alongside optional paid Premium access.
File and email search
Combine folder scope with filename, file type, size, date and content criteria. Folder exclusions help remove irrelevant locations from the results, while previews let you inspect a candidate before opening it. Indexing can be started manually or scheduled; large libraries and local AI models may take additional time and resources.
The email tools support classic Outlook, which must be installed and configured. The publisher currently lists Gmail as disabled in the public release. The new Outlook application is not a substitute for the classic Outlook integration. Voice input is another way to describe a search, subject to microphone, language and model requirements.
Organize copies and work with PDFs
Content-based organization proposes descriptive filenames and folders for supported photos and documents. Copy-based organization is the default, allowing originals to remain in place. Review the proposed changes before applying them, and keep backups when working with important files.
The PDF workspace supports form filling and locally saved, approved answers for reuse on later forms. Supported scanned documents can be processed to identify fillable fields. A separate viewing workflow covers PDF previewing and printing. Automatically suggested answers, recognized text and detected form fields still need your review.
What the Free mode includes
No account is required to begin using Free. The current publisher terms specify these allowances per local day:
- 3 completed searches across the search tabs.
- 1 file organization operation.
- 2 PDF editing document sessions.
- 20 dedicated PDF viewing sessions.
Allowances reset at local midnight. Reopening a PDF for editing starts another session; embedded previews do not use a dedicated viewing session. Software updates are included. Premium is optional and provides expanded workflows and managed AI benefits under the publisher's current terms. This is freemium software, not an unlimited freeware edition.
Local AI and system requirements
Free AI processing runs on the PC. Local models require a separate download and can need more memory and storage than the application itself. Managed cloud AI is an optional Premium service; selected content is sent to the configured providers only through that workflow and requires approval.
The stated minimum is 64-bit Windows 10 or Windows 11 and 4 GB RAM for the application. Internet access is needed for downloads, updates, connected services and cloud processing. Consult the official product page for current requirements and availability.
- Best for
- Finding scattered Windows documents, organizing copies and filling recurring PDF forms.
- Good to know
- Free has daily limits. Windows 10/11 x64; local AI needs extra resources. Email integration requires classic Outlook; Gmail is currently disabled.
